How the model works

The cadence above is what the engine produces once it is running. The model underneath is simple: one flat monthly retainer, sized by daily volume, and a team that runs the whole thing for you.

Full pricing below.

Start to finish

How working with us actually works.

One fit call, one tier, then we run your cold email every day, month after month.

Step 1Fit call and application

30 minutes on your niche, your fees and your capacity. If outbound does not make sense for your firm, we say so and stop there.

Step 290-Day Recruiter Pipeline Engine
  • We design and launch your outbound engine: ICP workshop, list build, domains, warmup, campaigns, and reply handling.
  • Sending starts ~15 days after the setup fee lands, so inboxes are warmed and land in primary, not spam.
  • We run it every day from there: data, sends, replies and booking, month to month.
Step 3Live, ongoing engine

After the first 90 days, we keep the engine running at the volume you agree, month to month, 30 days' notice either side.

Proof, not promises

Operators who run this motion at scale. Not a marketing agency.

Every claim on this page comes from systems we run in production today. Most firms land 8 to 20 new hiring conversations from outbound in their first 2 to 3 months. The two campaigns below are the ones published in Smartlead's case study on Tirvio.

100+

recruiting firms run this exact outreach motion

We co-founded Vakanzio, the German SaaS that runs the job-posting-to-hiring-manager outreach motion for 100+ recruiting firms. The Recruiter Pipeline Engine is that playbook, run for you in the US and UK.

~100k

sends per week, live in production

For one active client alone, our systems contact 20,000 people per day. Deliverability, warmup, and reply handling at volume is our day job, not a slide in a pitch deck.

4

retained clients signed in a single month

We used the same motion for our own client acquisition and signed 4 retained recruiting clients in one month.

UK

a London recruiting firm came in through this exact offer

Pro Rec Solution Ltd, tech and FinTech recruiting in London, found us the same way you just did: our own outbound, running this offer. We use what we sell.

Case study · Kravo, recruiting firm, DACH (German-speaking market)

6 new clients closed in the first 3 weeks.

Candidate-profile outbound to hiring companies in the finance and sales/BD niches, run end to end on our engine: list building, campaigns, reply handling.

7,957hiring decision-makers contacted across four campaigns
481replies, a 6% reply rate on cold traffic
124positive conversations with interested companies
6new clients closed in the first 3 weeks of working with us

This is the same engine structure we install and run for recruiting firms in the US and UK.

Case study · boutique recruiting firm, "Demo Boutique" in Smartlead's article

35% positive reply rate, 5 contracts in 3 weeks.

A small boutique recruiting firm. The campaign brought in more work than the firm could deliver, so it paused. In Sascha's words in the article: "At that point we unfortunately had to stop because they couldn't fulfill anymore. It was like a small boutique shop, but it worked really well."

35%positive reply rate
7.5%overall reply rate for the same client
5contracts in 3 weeks
Pausedmore demand than the boutique could fulfill

Two things to know: these figures are quoted from Sascha in the article, not taken from a platform dashboard, and they are one firm's numbers, not a rate we promise anyone.

Next up: the first US cohort, capped at 5 agencies. Their results will be published here as they land.

Sound familiar?

You don't have a pipeline. You have anxiety.

If you run a recruiting or staffing agency and your BD strategy is:

  • Live on referrals and repeat business
  • Hope current clients keep sending roles
  • Blast a few cold emails when things get scary

This is for agency owners who want a boring, predictable flow of hiring-client meetings without hiring an SDR, duct-taping ten tools together, or gambling on another $4k–$10k per month retainer.

Why you're stuck

  • 80–100% of new roles come from referrals, repeats, and inbound
  • When that slows, you "try outbound" for two weeks, hate it, and quit
  • Lead-gen agencies charged you retainers, sent weak leads, then vanished
  • Data, domains, warmup, copy, deliverability, and reply handling feel like a second business

So you stay in feast-or-famine. Not because you're bad at recruiting, but because building a proper outbound engine is a different skill set.

Our view: you should spend your time talking to qualified hiring managers and closing roles. We should do everything before that. And you should only pay when those meetings actually happen.
90 days from now

BD becomes a system, not a mood.

  • Your calendar shows a steady cadence of first-time calls with hiring managers in your exact niche, every week.
  • When one key client slows hiring, you don't panic. You already have three new companies in the pipeline with similar roles.
  • Your team fills roles and deepens relationships instead of begging for intros or refreshing LinkedIn.
  • Revenue evens out because you're not dependent on one whale client or random referrals.
  • If you take a week off, the meetings still roll in.

That's what the Recruiter Pipeline Engine is designed to create: predictable hiring-client meetings so you can build a real firm, not a stressful job. By the end of the 90 days, most firms are on a cadence of 8–12 qualified hiring-client meetings per month from outbound alone.

The mechanism

The Recruiter Pipeline Engine

Not generic lead gen. A done-for-you outbound email system tuned specifically for recruiting buyers, run on a performance model by operators who understand what an $8,000+ client does to a recruiting firm's year.

Lock your niche and ICP

One niche, one ideal hiring client. We map target geos, salary bands, and decision-maker titles in a 90-minute ICP and Niche Dominance Workshop.

Build your hiring-company and contact list

We source and clean a list of target companies and decision-makers in your lane, with verified hiring signals where possible.

Run your email outbound

AI-personalized cold email campaigns, written and managed under your brand, tuned to recruiter economics and your positioning. Domains, warmup, tools, and deliverability all handled.

Handle replies and qualify

Daily inbox management. We confirm decision-maker status, niche fit, live roles, and timing, and filter out the time-wasters.

Qualified meetings land on your calendar

Every meeting comes with a pre-call briefing sheet: role, company, triggers, and suggested questions. A meeting only counts toward our numbers when the prospect fits your ICP and shows up.

You're not buying leads. You're buying attended, qualified hiring-client meetings.

How the 90 days run

A designed sprint with four phases, not an open-ended engagement you have to cancel your way out of.

Weeks 1 to 2

Build and calibrate

ICP workshop, list build, infrastructure, warmup. Sending starts 15 calendar days after the setup fee lands, because inboxes that skip warmup land in spam.

Weeks 3 to 4

First scale push

Volume up, angles tested against each other, first meetings booked, and the qualification rules sharpened against calls that actually happened.

Weeks 5 to 8

Optimisation

We double down on the segments and scripts that convert and drop the rest. Around week 8 we review progress against the cadence we agreed.

Weeks 9 to 13

Stabilise and decide

Hit the agreed volume, then one decision in writing: keep the tap on at 10 meetings a month, or stop.

Why this is different

Built like a performance partner, not a vendor.

Pure performance economics

One flat monthly retainer, sized by daily send volume. No per-lead pricing, no meters running in the background, and volumes are ceilings, not quotas.

Recruiting-only focus

We're not juggling ecom, coaches, and roofers. Lists, copy, and qualification are built for recruiting fee economics.

Crystal-clear qualification

We pre-define what qualified means together: role type, salary band, location, seniority, and timing. You never pay for random chats.

Volume without the spray

Your tier sets the ceiling, not a quota. We send as much as we can while keeping reply rates high and domains healthy.

Capacity-capped for quality

The first cohort is capped at 5 agencies to protect list quality and fulfillment. Everyone else goes to the waitlist.

You walk in prepared

Every meeting comes with a pre-call briefing sheet, and no-shows are replaced at no additional charge.

Pricing

Monthly retainers for DFY cold email.

Three volume tiers, 3-month commitment, we handle everything. Most agencies we talk to charge 15–25% fees on $100k–$200k salaries, so a single placement usually covers months of it.

Three tiers, by daily send volume

  • Launch · up to 1,000 messages/day · one ICP, one market$3,500/mo
  • Scale · up to 2,000 messages/day · two ICPs or regions$6,000/mo
  • Dominate · up to 5,000 messages/day · multi-market programs$11,000/mo
  • Initial term3 months, then month to month
  • First cohortCapped at 5 agencies

Every tier includes data, domains, copy, sending, replies and booking, run by us every day, with weekly reporting and a simple pipeline summary. 30 days' notice either side after the initial term.

Ceilings, not quotas

Volumes are ceilings, not quotas. We won't spray bad lists just to hit a number: we send as much as we can while keeping reply rates high and domains healthy.

All three tiers in detail

We'll recommend the tier that fits your ICP, deal size and capacity.

Your three options

An SDR, a retainer shop, or this.

Hiring an SDR

$8k–$10k per month fully loaded, plus 2–3 months of ramp, with zero guarantee anything gets booked.

Retainer lead-gen shops

Paid whether or not you speak to a single decision-maker. When it doesn't work, they vanish.

Who this is not for

  • Brand-new agencies with zero past clients or placements
  • Generalists who can't name their niche in one sentence
  • Owners with no capacity for new clients, or unwilling to run follow-up after the meetings we book
FAQ

The questions every owner asks.

The retainer runs on a 3-month initial term, then month to month with 30 days' notice either side. We only take on firms where we see a clear path to a steady meeting cadence; if we do not see it on the fit call, we say so and stop there. Custom structures are discussed on the call, not sold from a menu.

We define it together before launch: a hiring decision-maker, in your agreed niche, with live roles or an active hiring plan, who stays on the call at least 20 minutes. If a booked meeting misses any of those, it does not count toward our numbers, and we fix the targeting.

We typically spend the first 2–3 weeks on list-building, infrastructure, and warmup. Most firms see their first qualified meetings in weeks 3–4, then volume builds from there.

Referrals are great until they slow. This is pipeline insurance: your placements stop being capped by who happens to think of you this quarter.

A meeting only counts if the prospect shows. On a no-show, our automatic reschedule sequence kicks in and you get a replacement meeting at no additional charge.

The first cohort is capped at 5 active agencies to protect fulfillment quality and list integrity. Everyone else goes to a waitlist.

No. Think of us as the engine feeding your closers more at-bats. We align the qualification rules with you so they only speak to the right people.

If we can't see a path to a steady meeting cadence based on your niche and market size, we won't take you on. We only work with agencies we're confident we can deliver for.
